A CRM only becomes operational infrastructure when the team trusts it. Duplicate records, stale statuses and notes stored elsewhere turn a system of record into a guessing game.
Define the minimum reliable record
Agree which client, household, service, consent and workflow fields must always be complete. Make the standard small enough to follow and important enough to enforce.
Assign ownership
Every active workflow should have one owner and one next action. Shared responsibility without named accountability is a common source of silent delay.
Use controlled values
Standard status labels, task types and naming conventions make reporting meaningful. Free-text fields still matter, but they should not carry information needed for filtering or management.
Audit little and often
Run monthly checks for missing owners, overdue tasks, duplicate clients and unclosed implementation items. Correct the process that created the issue, not only the record.
